From ensuring your church media systems run smoothly to creating a welcoming environment for visitors, every detail matters.
To help you stay organized, we’ve created a week-by-week checklist to help as you’re preparing for Easter Sunday, April 20, 2025. Use this guide to ensure everything is ready for a powerful and distraction-free Easter service!
Preparing for Easter – Week-by-Week Checklist
4+ Weeks Before Easter
☐ Update your computer’s operating system and adjust auto-update settings to prevent disruptions during services.
☐ Verify that your church presentation software is up to date. If you’re using an older version, consider upgrading to MediaShout 7.
☐ Evaluate the performance of your church media computer—consider upgrading to a new MediaShout PC if it’s over 5-7 years old.
☐ Inspect all projection and display equipment, ensuring bulbs, lenses, and connections are in good shape.
☐ Declutter and organize the tech booth—remove unnecessary papers and outdated equipment.
☐ Check and clean all video cables, projectors, stage display monitors, and connections.
☐ Clean and dust workstations, cameras, and microphones to maintain a professional look.
3 Weeks Before Easter
☐ Begin gathering fresh worship media, backgrounds, and graphics for Easter services. If you don’t already have it, subscribe to the Shift Worship Media Plan for thousands of choices.
☐ Experiment with new slide designs to enhance the worship experience.
☐ Train media volunteers—ensure they are familiar with the presentation software and media setup.
☐ Schedule a tech support consultation if you have ongoing technical issues. MediaShout Plus members can schedule a support call and also have the assurance of emergency tech support available even on Easter Sunday!
2 Weeks Before Easter
☐ Finalize Easter service plans, including sermon slides, song lyrics, and media transitions.
☐ Ensure your website is up to date with Easter service times, locations, and any special events.
☐ Make plans for an overflow space if needed. Test the projection and sound setup for any additional rooms.
☐ Confirm volunteers’ schedules, ensuring enough people are available for all media and tech roles.
☐ Prepare and schedule social media posts and announcements to invite the community to Easter services.
1 Week Before Easter
☐ Run a full test of all media, lighting, and sound equipment.
☐ Ensure all cables, microphones, and batteries are working properly.
☐ Send out a final reminder to volunteers with details on when and where they are needed.
☐ Conduct a walkthrough of the service order with the tech team.
☐ Conduct a full media and tech rehearsal with the worship team and pastors.
☐ Show appreciation to your team with a small thank-you gift, breakfast, or coffee before the service.
Easter Sunday
☐ Arrive early for a final run-through of media, sound, and lighting.
☐ Have backup plans for any potential tech failures.
☐ Greet visitors with warmth and a smile, making them feel welcome and included.
☐ Celebrate the resurrection of Jesus and enjoy the fruits of your preparation!
